COMPLETE REVISIONS OF BY-LAWS
REVISION DATE: May 2008
1. Meetings will be held at an assigned place once each month, summer meetings optional as per yearly vote. Club year to run September 1st to August 31st. Officers may call special meetings if necessary. An attempt shall be made to notify all members of any special meetings within the local calling area. It is not required to contact members outside of the local calling area for special meeting.
2. Club dues are due and payable by September meeting, but no later than the December meeting or you are not considered a member. At that time you will be deleted from email and/or mailing list.
3. Persons wishing to join the club must submit their written application to a member or officer. Members must be 18 years of age or older. Dues are to be paid before a new member may attend the meetings. Dues are to be $20.00 single and $30.00 family (Couple and unmarried children under 18 years of age). This includes AWSC membership. Once a membership form is signed it is good for a lifetime. Exception to this would be if membership dues lapse for two consecutive years, then the application is void and must be resigned.
3a. Active member: 8-hrs/yr service to club and attend 2 meetings during the past 12
months.
3b. Inactive member: Those paying dues but not fulfilling active membership
requirements.
3c. Honorary member: Have all the rights to the club accept voting rights. If AWSC
membership is requested AWSC dues must be paid.
3d. Commercial AWSC Sponsor: $35.00 fee shall consist of non-voting inactive
membership.
4. No outsiders will be allowed on any club outings with the exception of guests going at the host’s expense if space is available. First priority for space shall be given to active members, followed by inactive members, honorary members, and then guests. Other exceptions being when the club holds its courtesy party for favors done for the club and fund raising activities.
5. Any member knowingly damaging property, littering trails, or otherwise giving the club a bad name may be voted out by the membership, at the next scheduled club meeting. A 2/3 majority vote of those present needed. Any member voted out will not be refunded his dues. Also, member may not be reinstated that season.
6. A copy of by-laws shall be given each member so there will be no misunderstandings. Copy is posted on the metzridgerunners.org web site.
7. Each landowner will receive a paper with the phone numbers of the Trail Boss, Section Boss and club Officers to call if there are any questions or problems.
8. Each member should display the current AWSC sticker on each of his or her machines. Stickers available from the club secretary.
9. All officer nominations will be at the April and May meetings, and elections shall be held at the May meeting. New officers are to be installed at the September meeting.
Trail Boss is considered to be an officer and will be elected for a one-year term.
President and Treasurer shall be elected for two-year terms on odd numbered years.
Vice President and Secretary shall be elected for two year terms on even numbered
years.
9a. If an officer is nominated and elected for a new position nominations will be opened
for an office to fulfill said term.
10. Committees may be appointed and have full power of said function. Chairperson shall keep records of members names and times worked, and report this to the club secretary.
11. A meeting can be held with 10% or more of membership present plus 3 or more officers. A 2/3 majority vote of those paid members present is needed to carry the vote.
12. Reimbursement for equipment use for trail maintenance based on 50% of Waushara County Parks Department current schedule, payable only upon receipt of said funds from County parks Department.
Duties of Officers:
President shall preside over all meetings and appoint all committees.
Vice President shall assume the duties of the President in his or her absence.
Secretary shall record the minutes of each meeting, conduct the correspondence for the club, notify members of special meetings, and keep all records for the club in a safe place at the Secretary’s home. The Secretary shall also update officers’ names on the by-laws after each election. The secretary shall always be a member of the by-laws committee.
Treasurer shall keep detailed financial records for the club and disburse club funds when necessary. Books are to be open to the membership for inspection at all times. Collect and take care of all monies pertaining to the club. Books to be audited each 2 years by 2 members appointed by president.
Trail Boss is responsible for marking, unmarking, and maintaining trails. Trail Boss shall appoint section bosses to maintain their section for the trail. Trail Boss or section bosses shall inspect trails regularly and report to President anytime and at meetings on all aspects of trails. Trail Boss or section boss must contact each landowner before trails are marked. Trail Boss shall update the secretary’s landowner list each year with any changes.
These by-laws shall be reviewed every two years, and changed as deemed necessary and new clauses added or deleted to preserve the interests of all members. Revisions are to be submitted to the club members in April for a vote at the May meetings of the even year.
